Online Data Entry

Online Data Entry (ODE) allows a customer or carrier to enter freight bills directly into the CTSI payment systems via the Internet, without having to send paper bills to CTSI. This function is provided for easy thorough put, faster visibility and for bills that require customer review and approval. ODE is a custom application, thus CTSI does not copy our data entry screens or the EDI fields. Some of the fields will have no meaning to the carriers or users, some are generated, and some terminology would not be clear to the general user(s), etc.

Requirements: ODE is typically made available for carriers who are not savvy about data and carriers that fall into the exceptions groups and are often allowed to bypass standard rules. It is not advisable to set up on ODE any carrier with more than 50 bills per week, as they are unwilling to data enter any more than that in our experience.

Set Up: CTSI first determines the specific needs and requirements of each client to determine whether a carrier is TL, LTL, courier, or air; has summary billing or detail billing; has inbound carriers, outbound carriers, third party carriers, or all; has an e-mail address and Internet access.

Once an overview of which carriers will be using ODE, CTSI will begin designing the product. This includes data fields for the online invoice form, real-time edits to be built, fields that will have dropdown windows to allow the user to select choices, etc.

Once designed, a prototype is built and tested with sample bills. Also tested are the auto-email reject reports that are generated and sent to the user. If approved, the carrier will be made live and ODE training sessions will be scheduled for the client. The client then trains the carriers that are to be provided access to ODE.

CTSI has provided carrier training sessions that include 5 carriers at a single time and occur 1 day per week. Charges will apply if demonstrated by CTSI.
